These terms cover use of this website. They are not an engagement letter and do not govern professional services, which are set out in the separate engagement agreement you sign before work begins. Have your own counsel review this text before relying on it.
By accessing itin.tax you agree to these terms. If you do not agree with them, please do not use the site.
No professional advice
The content on this website is general information about the services we offer. It is not tax, accounting, legal or immigration advice, and it does not account for your particular facts. Tax and immigration rules change frequently and apply differently to different people. Do not act, or refrain from acting, on the basis of anything published here without first obtaining advice specific to your circumstances.
No client relationship is created by this website
Sending us a message through this site, calling our office, submitting the online ITIN application, or reading these pages does not create an accountant-client, notarial or other professional relationship. A relationship is formed only when we and you have agreed the scope of work in writing and any applicable retainer or engagement conditions have been met. Until then, do not assume any deadline is being managed on your behalf.
The online ITIN application
The application at itin.tax/apply is a request for our services. Submitting it does not file anything with the Internal Revenue Service, does not by itself engage us, and does not oblige either of us to proceed. What it does is give us what we need in order to review your position and quote you a fixed fee in writing. Nothing is filed and no payment is taken until you have that quote and have accepted it.
You are responsible for the accuracy and completeness of what you submit, and for the authenticity of every document you upload. Form W-7 is signed under penalty of perjury; we prepare and certify, but the declaration is yours. If you are applying for somebody else — a spouse, a child, or a person you represent — you confirm by submitting the form that you are entitled to do so.
As an IRS Certifying Acceptance Agent we are required by IRS ITIN statute and procedure to physically examine your original passport, or your other original identification, before we can certify it. Your original is never sent to the Internal Revenue Service; what we submit is our certified copy. We touch and hold the original only to confirm that it is valid, photocopy it, and return it to you immediately by Federal Express, DHL, USPS Priority or Express Mail — normally one to two days without it, in place of mailing it to the IRS, which can take six months or more and where its care, custody and control can be jeopardised. Courier and postage charges are not included in our professional fee. If you attend our Sanford office by appointment, your documents are examined and handed back the same day.
Whether an ITIN is issued is a decision for the Internal Revenue Service alone, as is how long it takes. We do not control either, and we do not guarantee an outcome or a timescale. What we undertake is that your application will be prepared and certified with professional care, and that we will tell you plainly if we think it will not succeed as it stands.
The reference number we issue lets you check the progress of your own application. Treat it as confidential: anybody holding both it and your email address can see the status of your file. It shows our progress on your file, which is not the same as the internal state of the IRS’s own processing.
Form W-7 and its instructions are available free of charge from the IRS at irs.gov, and you are free to apply yourself at no cost. What you pay us is for preparation, Certifying Acceptance Agent document certification, and filing.
Fees and payment
Our professional fees start at $99 and depend on the work involved — how many applicants are on the filing, the documents needing certification, and whether a federal tax return is prepared alongside the ITIN application. Any figure published on this website is a starting point, not a quotation. Your fee is the figure we confirm to you in writing, and it is fixed once you accept it. We do not begin chargeable work before that.
Fees are stated and payable in United States dollars. They cover our professional work only: preparation of your Form W-7 and any accompanying return, certification of your identification documents in our capacity as an IRS Certifying Acceptance Agent, and filing and tracking the package. They do not include any government charge — the IRS charges nothing to issue an ITIN — nor postage, courier, apostille, translation or third-party costs, which we will identify separately before incurring them.
Card payments made at itin.tax/pay are processed by Stripe, and are also subject to Stripe’s own terms. Your card details are entered on Stripe’s page and never reach us. A payment is only complete once Stripe confirms it to us; a page in your browser saying so is not by itself confirmation, and if anything is unclear we will always tell you rather than leave you guessing. You are welcome to pay by another method instead — call the office and we will arrange it. Please do not send card details by email.
Because your fee buys professional work rather than a result, it is earned as that work is performed. A fee is not refundable to the extent the work has already been done, and in particular it does not depend on the Internal Revenue Service issuing an ITIN, on how long the IRS takes, or on the outcome of any return we file. If we have not yet started, or we conclude we cannot properly act for you, we will refund what we have not earned. If you overpay, or pay twice, tell us and we will refund the difference to the same card. Where we consider a fee has to change because the work turns out to be materially different from what was described to us, we will tell you before doing that work and you may decide not to proceed.
Accuracy of information
We take care to keep this site accurate and current, but we make no warranty that it is complete, correct or up to date. Processing times, government requirements and fees referenced on this site are indicative and are set by third parties such as the IRS and the Florida Department of State, not by us. Where we state a typical timeframe, it is an observation and not a guarantee.
Availability
We aim to keep the site available at all times but do not guarantee uninterrupted access. We may change, suspend or withdraw any part of the site, including these terms, at any time.
Communications and confidentiality
Ordinary email is not secure, and neither is our general contact form. Do not transmit passports, identification documents, Social Security numbers or ITINs through the contact form or by email. The online ITIN application is a different matter: it is provided precisely for that information, is submitted over an encrypted connection, and stores uploaded documents in encrypted storage. Anything else sensitive should be exchanged through our encrypted client portal, and we will invite you to it when it is needed. We are not responsible for the interception or loss of information you choose to send by an insecure channel after this warning.
We are not the Internal Revenue Service
ITIN INTERNATIONAL TAX SERVICES is a private firm. We are authorised by the Internal Revenue Service as a Certifying Acceptance Agent, which permits us to verify and certify identification documents for Form W-7 applicants; we are not a government agency, not an arm of the IRS, and not affiliated with it beyond that authorisation. Nothing on this site is issued or endorsed by the IRS or by any other government body. Fees we charge are our own and are separate from any government fee.
Third-party links and content
This site links to and embeds third-party services, including our client portal, our Google Business Profile, an embedded Google map and our social media pages. We do not control those services and are not responsible for their content, availability or privacy practices. Links are provided for convenience and are not an endorsement.
Intellectual property
The text, layout, logo and other material on this site are owned by ITIN INTERNATIONAL TAX SERVICES or used with permission and are protected by copyright and trade mark law. You may view, download and print pages for your own personal, non-commercial use. You may not otherwise reproduce, republish or exploit any part of this site without our written permission.
Acceptable use
You agree not to:
- use this site for any unlawful purpose or in breach of these terms;
- submit false, misleading or impersonating information through our forms;
- attempt to gain unauthorised access to the site, our portal or any related system;
- transmit malware or interfere with the operation of the site; or
- scrape, harvest or systematically extract content from the site.
Limitation of liability
To the fullest extent permitted by law, ITIN INTERNATIONAL TAX SERVICES and its principals are not liable for any indirect, incidental, consequential or punitive loss, or for any loss of profit, data or goodwill, arising from your use of, or inability to use, this website or from reliance on its content. Nothing in these terms limits liability that cannot lawfully be limited.
Governing law
These terms are governed by the laws of the State of Florida, without regard to its conflict of laws rules. Any dispute arising out of them is subject to the exclusive jurisdiction of the state and federal courts located in Florida.
